Administrative Assistant

Location: Kolkata
Closing Date: 15th September 2010

Purpose of the post:

To provide secretarial/ administrative services to the Operations officer.

Major Duties and Responsibilities:-

• Handling of travel desk - Booking / cancellation of air/train tickets and cars (local and outstation) on request from the staff members and based on Travel Authorization.
• Organising workshops, seminars, conferences and team visits. Regular liaison with the vendors like hotels, travel agents etc.
• Check and process Admin related bills, reconciliation of vendor’s accounts, process travel claims and draft payment requests in ProMS.
• Prepare monthly MIS for Kolkata Field Office e.g travel analysis. Type and prepare documents, reports, statements, letters etc.
• Office upkeep and general maintenance. Liaison with the office building authorities, ancillary service providers and security service providers.  
• Any other duties assigned by the Supervisor

Qualifications, Experience and competencies required:

• Complete secondary education with specific additional training in secretarial skills, including computer based applications.
• Minimum three years in a comparable position.
• Fluency in English is essential.  Knowledge of local working language of duty station an asset.
• Organizational abilities
• Proven drafting abilities
• Proven computer skills, preferably in Windows-based applications.
• Ability to work in a multi-cultural environment.
