Type of Appointment: Initial one-year FIXED TERM full time appointment administered under the provisions of the UN Rules and Regulations, subject to extension based on performance


1. Purpose of the Post:

Under the general supervision of the Representative the incumbent performs secretarial function.


2. Major Duties and Responsibilities:
2.1 Arranges appointments and maintains supervisor’s calendar, receives visitors, places and screens telephone calls and answers queries with discretion. 

2.2. Arranges meetings, both internal and external, some involving high-ranking officials, and takes minutes and/or notes at meetings. 

2.3 Prepares informal translations and may act as interpreter.

2.4 Receives, screens, logs and routes correspondence, attaches necessary background information and maintains follow-up system. 

2.5 Maintains Front Office filing system. 

2.6 Clears correspondence for conformity with established procedures and accuracy of statements before being signed by supervisor.

2.7 Selects and makes pertinent abstracts, and undertakes searches for information.

2.8. Keeps lists of names, addresses and telephone numbers of ministers, government officials and members of the diplomatic corps.

2.9. Makes travel arrangements for the supervisor and performs liaison duties with other units.

2.10 Provide logistic support to the Management of the office and other sections upon request (assisting with preparation for workshops/meetings, sending/receiving fax, scanning documents, delivering incoming mail, keeping office library maintained etc.).

2.11 Performs other duties, as required. 
 


3. Minimum Requirements and Qualifications:

3.1 Completion of secondary education; proven shorthand and typing ability; thorough knowledge of modern office procedures.

3.2. Ability to operate word-processing equipment may be required.   Knowledge of protocol.

3.3.Fluency in English and Armenian. Knowledge of a second UN Language is an asset.
